The challenge
VCBO Architects, a prominent Utah-based architecture firm, was experiencing increasing difficulties managing its construction administration processes as its projects became more complex. The firm had created an internal system to handle CA tasks; however, due to limited internal resources, the system wasn’t scaling as fast as the firm needed.
Additionally, the team found themselves using multiple tools across various platforms to accommodate different contractors, leading to confusion and a lack of ownership over their data.
Recognizing the need for a scalable software solution tailored to architects, VCBO sought a platform that would enhance their workflows while allowing them to maintain control over their data and integrate with other systems their partners were using.
The solution
VCBO partnered with Part3 to implement its comprehensive CA management platform. Part3’s tools, such as submittals, RFIs, reporting, and change order management, enabled the firm to standardize its documents, simplify processes, and automate tedious tasks that were being done manually.
VCBO took a methodical approach to implementation. They ran a Part3 pilot, got buy-in from leadership, and gradually rolled out the software firm-wide. They used internal champions to drive excitement and adoption through presentations and all-hands meetings. They also leveraged survey data to track the effectiveness of training and adoption across their team. Feedback was then used to fine-tune training and address any gaps in user confidence.
Additionally, Part3’s integration with tools like Procore allowed VCBO to maintain control over their data while collaborating with outside contractors, eliminating the need to manage CA across multiple external systems.

The results
After implementing Part3, VCBO saw significant improvements in efficiency and productivity. The firm was able to standardize its CA processes across the board, ensuring consistent document formats and better legal protection through proper logging and tracking of documents.
